Frequently Asked Questions

Q: Am I required to purchase additional hardware or software to run on my office computers?

A: No. You may access your account information and transcription files with your computer using Internet Explorer.

Q: Am I required to sign a long term contract?

A: No. We value each client’s business and are confident in our ability to provide you with the highest service you can find. There is no minimum contract length to use ARCS.

Q: Am I required to buy special recorders, microphones, or any other equipment?

A: No. You can use the telephone or, if you choose, digital recorders can also be used.

Q: Does ARCS require a minimum number of doctors in my practice to use the service?

A: No. We can handle any size practice, large or small.

Q: Can I generate reports and sift through the records to collect information?

A: Sure. A variety of standard reports are available for your account. Each step and transaction is recorded in our database, so you know when things happen.

Q: Is your software HIPAA compliant?

A: Yes.

Techincal Questions:

Q: Does ARCS offer technical support?

A: Absolutely. We can answer any questions you have about dictating, accessing your reports and the overall needs of your transcription service.

Q: Can the doctors use any telephone to dictate files?

A: Yes. Any digital or analog phone will work, or the physician could also record to his PDA or a digital voice recorder he may already own.  We do, however, discourage cell phone use and VOIP systems.

Q: Does ARCS provide a STAT service?

A: Yes. You can also prioritize your work order with user-settable levels of priority to force your more important files to the top. We can work with you on how to set your work priorities.

Q: Is there an extra charge for an electronic signature?

A: No. There are no extra or hidden charges for this service.

Q: In what form(s) are the transcribed files delivered to the doctors or administrators?

A: Your doctors and administrators may login to our system to view, edit, and electronically sign the completed transcription files. You may then print and/or digitally archive the files on any computer of your choosing.

Q. Are dictated and transcribed reports available "on-line"?
A. Dictated reports can be accessed for up to 6 months on-line. After that time all data is archived to secondary media and stored for life.

Q. Can you use my normals?
A. We will be happy to incorporate any normals or canned phrases you may routinely use in your dictation.

Q: What’s involved in starting to use your dictation service and training the doctors?

A: We can have you set up and ready to go in 24 hours or less.  Training for your staff is simple and can often be done on the telephone in about 15 minutes.  In most cases, the physicians will dictate as they are accustomed.

Q: Do you require an internet connection for my computers?

A: Yes.

Q: Do you require a broadband connection to the internet?

A: No, but the faster your connection is, the happier you will be with our service.

Q: I have to constantly work with a customer service rep to access my files, can I do all this myself?

A: Absolutely. Ours is a self-serve system, with all the functions you need right on the screen. You can listen to the original voice file, access and even edit the transcribed file, as well as electronically sign the document through your website access.

Q: Is it possible to customize the software with my business process?

A: Yes. Most clients find that the standard business rules that come with the system are more than adequate. If you need something that more specifically supports a process you have, we can customize the software based on your needs.

Q: Does your software integrate with EMR?

A: Yes. We can even do custom programming if needed.

Q: Is your software HL 7 compatible?

A: Yes.
